New policy, website offer campus guidance on generative AI 

A new generative AI Policy and companion website, the AI Hub, have been created to help faculty, staff and students use artificial intelligence tools confidently, responsibly and securely. 

Recognizing generative AI as a valuable resource for instruction, research and administration, the campuswide committee that developed and manages the policy and related web resources encourages responsible experimentation while emphasizing ethical use, academic integrity, data privacy and compliance with policy and law.  

The policy is designed to provide guardrails rather than roadblocks as generative AI continues to evolve. It focuses on the data, contracts and system integrations behind the tools, and directs the campus community to use approved platforms when working with University information. 

Because many AI tools transmit user inputs to outside systems and may store that data or use it for training, the University reviews tools to help ensure sensitive information is protected and that security, legal and accessibility standards are met. 

Committee members stress the policy is not intended to slow routine academic work. However, compliance with the policy is required. Review focuses on initial acquisition and higher risk uses, particularly those involving sensitive data, contracts or integrations with University systems. Free or public AI tools may handle information in ways not aligned with UA’s data protection requirements, while University-approved platforms are selected to meet institutional privacy, security and compliance standards. 

The campus community is  expected to:  

  • keep sensitive or restricted data out of unapproved platforms, and  
  • apply standard cybersecurity practices, such as using strong passwords and reporting suspected issues to the IT Service Desk.  

Any new tools should be submitted to OIT for review and approval before they are used with or connected to University systems or data. 

The AI Hub serves as the central source for approved tools, security standards and current guidance. It also includes audience-specific resources for instructors, students, researchers, and staff and administrators, along with answers to frequently asked questions about how the policy applies to each group.
